Trip Booking Conditions
By booking a trip with Alpine Asian Treks and Expedition Pvt. Ltd., you agree to the following Terms and Conditions. Please read them carefully.
- Pricing & Inclusions
We guarantee the price of your trip once we have received your deposit. All prices are quoted for the 2026 season and are based on the costs and tariffs known to us at the time of publication. We reserve the right to adjust prices only in the event of new or increased government taxes, airport taxes, or airline fuel surcharges imposed after your booking is confirmed. A detailed list of what is included and excluded in your specific itinerary is provided with each trip proposal. - Booking & Contract
To secure your booking, you must complete our online booking form and pay a non-refundable deposit of 25% of the total trip cost. We require your passport details, flight information, and confirmed arrival dates to finalize arrangements. A binding contract between us comes into effect only when we issue our written confirmation invoice. It is your responsibility to provide the correct information. - Travel Insurance
Comprehensive travel insurance is mandatory for all clients. Your policy must cover medical expenses, emergency evacuation, repatriation, cancellation, and loss of baggage. You must provide your insurance policy details (provider, policy number, and emergency contact) to us before the start of your trek. We strongly advise you to buy the insurance from your home country. - Passports, Visas & Documents
You must possess a valid passport with at least six months of remaining validity from your date of entry into Nepal. Most travelers can obtain a visa on arrival; however, you are solely responsible for securing all necessary visas and ensuring your documentation is in order. Visa fees are not included in our trip costs. Alpine Asian Treks is not liable for any delays, expenses, or trip interruptions caused by improper documentation. - Payments, Cancellations & Refunds
Balance Payment: The full balance of your trip cost should be paid all before the departure of the tour/trek.
Client Cancellation: If you cancel your booking, the following charges will apply:
(I) 20% of total cost if cancelled more than 5 weeks prior to departure (plus any non-recoverable costs such as flight tickets).
(II) 30% of total cost if cancelled between 2 and 4 weeks prior to departure (plus any non-recoverable costs).
oNo refund for cancellations made less than 2 weeks prior to departure.
(III) Tour Alteration or Breakage: No refunds will be given for unused services, alternative arrangements, or early departure from a trip due to personal illness, injury, change of mind, or external factors beyond our control (e.g., political unrest, natural disasters).
(IV) Transfer of Booking: Requests to transfer a booking to another person must be made in writing and are subject to approval by our administration, plus any applicable fees. - Changes or Cancellation by Alpine Asian Treks
We reserve the right to modify itineraries or cancel a trip due to unsafe conditions, or events beyond our control (e.g., war, natural disaster, political instability). If we must cancel, you will be offered the choice of an alternative trip of comparable standard or a full refund of all monies paid. We are not liable for any incidental expenses you may have incurred (e.g., visas, vaccinations). - Health, Safety & Responsibilities
You are responsible for assessing your own fitness and capability to undertake your chosen trip. We advise you not to travel against medical advice. You must comply with the authority of our trip leader and the laws of the countries we visit. We may require any person to withdraw from a trip if their behavior is deemed a hazard or nuisance to the group, with no right of refund. - Unforeseen Circumstances & Extra Costs
The client is responsible for any additional expenses incurred due to factors beyond our control, including but not limited to: delays, itinerary changes, or evacuations caused by weather, landslides, flight cancellations, sickness, or political unrest. This includes costs for extra accommodation, transport, and emergency services. - Emergency Helicopter Rescue
In the event that emergency evacuation or rescue (including helicopter rescue) is required for any reason, the client is solely responsible for all associated costs. To facilitate a swift rescue, Alpine Asian Treks may request you to provide a credit card authorization or sign a blank sales slip at the trip outset. This will only be used in a genuine emergency, and you will be provided with all receipts to claim from your insurance company. If no rescue is required, the authorization will be destroyed. - Limitations of Liability
Alpine Asian Treks acts as an agent in arranging transport, accommodation, and other services and is not liable for the acts, omissions, or negligence of these third-party suppliers. We accept responsibility for ensuring the services we contract are delivered as described and to a reasonable standard. Our maximum liability to you for any proven loss or claim (except for death or personal injury resulting from our negligence) shall be limited to the total cost of your trip. - Complaints
Should a problem arise during your trip, you must immediately inform your guide or our local office so we can endeavor to resolve it. If the issue remains unresolved, you must submit a written complaint to our head office in Kathmandu within 30 days of the trip’s conclusion. We will investigate and respond promptly. - Data Protection
The personal information you provide is necessary to process your booking. We are committed to protecting your data and will only share it with relevant suppliers (hotels, airlines, etc.) essential to your travel arrangements. By booking with us, you consent to this transfer of information. You may request to see the personal data we hold about you at any time. - General
These conditions constitute the entire agreement between us. No employee or representative of Alpine Asian Treks may alter them unless authorized in writing by a company director. Nepali law shall govern any dispute.
